What you’ll do

Capture every billing quirk for every customer before your first invoice run. Most customers have specific rules — purchase order formats, invoice cadence, what attachments they expect — and getting these wrong on day one means rejected invoices and AR delays.

Before you start

  • A list of every active customer loaded in Tread.
  • A 15-minute call slot with each customer’s AP contact, or their most recent invoice as a reference.
  • The fields below ready as a checklist template.

The billing profile checklist

For each customer, capture answers to these questions. Many customers won’t have all of them — that’s fine. Capture what they need.
  • PO required? If yes, what format? Where does it go on the invoice?
  • Invoice frequency? Daily, weekly, semi-monthly, or monthly?
  • Ticket order matching required? Do they need each line to reference a specific ticket number?
  • One job per invoice? Some AP systems reject combined-job invoices.
  • Custom invoice fields? Project codes, cost codes, foreman names, anything custom.
  • Email distribution list? Who at the customer receives the invoice?
  • Approval workflow on their side? Does the project manager approve before AP pays?
  • Color-coded flag? A visual marker dispatch can use — common with multi-customer accounts.
  • Digital ticket copies expected? Some customers want photos attached to every line.

Schedule a 15-minute kickoff with each customer's AP contact

Most customers will give you fifteen minutes if you tell them you’re trying to get their invoices right the first time. Run the checklist above on the call.

Open the customer record in Tread

Settings → Customers → pick the customer. Open the Billing tab.

Set PO and invoice rules

Enter PO format, invoice frequency, and the email distribution list. Turn on One job per invoice if the customer requires it.

Set ticket and attachment rules

Toggle Ticket order matching if the customer needs ticket numbers per line. Toggle Attach digital tickets if they want photos with every invoice.

Add custom fields and flags

Enter any custom invoice fields. Pick a color-coded flag if dispatch needs a visual marker for this customer.

Save and confirm

Save the profile. Note the customer in your kickoff tracker so you don’t double-call them.

Verify

Open Settings → Customers and filter by Billing profile complete. Every active customer should appear. Run a sample invoice for each customer with billing-team review before going live.

Common mistakes

Skipping this for “easy” customers. A complex multi-entity hauler skipped billing kickoffs for customers they thought were simple. Three of those customers rejected the first invoice run for missing PO formatting. Run the kickoff for every customer, even small ones.
Capturing rules in a spreadsheet instead of Tread. A side spreadsheet drifts within weeks. Put the rules on the customer record so dispatch and billing both see them.
