What you’ll do

Add every truck and trailer in your fleet. Share each one to the vendors that use it.

Before you start

  • Equipment Types set up.
  • A truck list with name (the number drivers and customers see), VIN or asset ID, and assigned type.
  • Decide how truck names appear on invoices and statements — that’s the name customers and vendors will see.

Open Settings → Equipment

Click Add Equipment.

Name the truck

Use the truck number drivers paint on the door. This name prints on tickets, invoices, and settlement statements. It also matches what telematics reports.

Pick the equipment type

Capacity and UoM auto-fill from the Equipment Type. Override only if a specific truck differs from its type’s standard.

Set the Ext. ID and VIN

Paste the asset ID from your accounting or maintenance system. VIN is optional but helps with telematics matching.

Share with vendors

If a vendor runs this truck, click Share and pick their company. They see the truck on their dispatch board; you keep ownership.

Verify

Settings → Equipment shows every truck with its type, capacity, and UoM. Open a vendor and confirm shared trucks appear under their fleet.

Common mistakes

Naming trucks with internal codes customers won’t recognize. “EQ-00347” on an invoice triggers customer questions. Use the truck number painted on the door — what dispatch and drivers actually say.
