Turn on Share order totals and every driver on an order sees how close the whole order is to done, live, across all trucks. Fewer calls asking “how many more loads?”, and fewer trucks hauling past the order total.

What it is

A pooled order is an order created while Share order totals is on. On a pooled order, the driver app shows the order’s total and what all trucks have delivered. It replaces the job’s own quantity. It works for Internal Drivers and Shared Drivers alike.
The setting only applies to orders created after you turn it on. Each order keeps the value it had when it was created, so turning the setting on does not change existing orders.

Set it up

1

Turn on Share order totals

Go to Settings → Configuration (1) and check Share order totals (2) under Display → Dispatch. Only users who can edit company settings see this section.Settings, Configuration, with the Share order totals checkbox checked
2

Create the order with an ordered quantity

Under Materials, enter the Ordered Quantity and Units, for example 1,000 Ton of one material. This is the total that drivers see.The Create Order form with 1000 Ton of #89 Limestone in the Materials sectionTo pool several materials, click Add Material and give each one its own ordered quantity. Drivers see one progress bar per material. The Update Order form with 600 Ton of #89 Limestone and 400 Ton of Builders Sand
3

Dispatch the jobs

Assign jobs to Internal Drivers, Shared Drivers, or both, and send them. Set each job’s quantity to Running (see Job quantities below).A pooled order on Dispatch with one Shared Driver from a Vendor and one Internal Driver, both Running

What drivers see

1

Assigned list

Every job on a pooled order reads Requested: Pooled Order - Tap for more, whatever the job quantity. A regular order still shows its loads and material. The driver app Assigned list with two pooled order requests and one regular request showing 1 Load and Gravel
2

Active job

After the driver accepts and starts the job, the Order progress · all trucks card replaces the Requested box. It shows the delivered amount, the percentage, and what is left. The active job with Order progress all trucks at 0 of 1,000 Tons, Nothing delivered yet
3

Progress updates live

Each completed load from any truck on the order updates the card for every driver.Order progress at 25 of 1,000 Tons, 2 percent, 975 Tons left
4

Multiple materials

On an order with several materials, the card shows one bar per material. The material on this driver’s job is listed first.Order progress with #89 Limestone 0 of 600 Tons and Builders Sand 0 of 400 Tons
When the order reaches its total, finishing a load opens an Order complete sheet. The driver taps Finish job to end the job. If they tap Continue instead, the app asks Haul past the order total? and warns that the dispatcher will see the order go over.

Job quantities on a pooled order

The driver’s request details, shown before they accept, still show the job’s own quantity. Pick the job quantity with that in mind. Dispatch showing three jobs on one pooled order: Running, 1000 Ton, and 1 Load

Common pitfalls

Turning the setting on for an order that already exists. Existing orders keep their old value. Create a new order after you turn on Share order totals.
Copying the order quantity onto each job. A job set to 1,000 Ton tells each driver they alone owe the full order. Use Running and let the order progress card show the total.
